What OneBio does

OneBio is a Gmail add-on that helps recruiters generate outreach email drafts inside Gmail. You paste job description (JD) text and a candidate resume/bio, and OneBio generates draft copy.

Data we collect (what you type/paste)

• Recruiter inputs you provide in the add-on UI (e.g., your name, company, role/link, JD requirements, candidate name, recipient email, and settings like tone/output mode).
• Candidate resume/bio text you paste for a given draft.

Data we store (saved defaults)

To make the add-on faster to use, OneBio stores certain defaults in your Google account using Apps Script UserProperties (for example: your name, recipient email, tone, approach, and other settings).

JD requirements are only stored if you explicitly enable “Save JD requirements for next time.” If you do not enable that option, OneBio does not retain JD text and clears any previously saved JD.

OneBio does not store the candidate resume/bio text you paste.

Data sent to third parties

When you generate a draft, OneBio sends the following to OpenAI to generate email copy:

• JD requirements text
• Candidate resume/bio text
• Minimal role/company context and names you provided (to personalize the draft)

OneBio uses OpenAI only to generate draft text; it does not provide OpenAI with access to your Gmail mailbox beyond the text you submit for generation.

Retention

• Candidate resume/bio text: not stored by OneBio.
• Saved defaults in UserProperties: stored until you delete them.

Deleting your data

You can delete saved defaults at any time:

1. In the add-on, click “Clear saved settings” (Advanced section).

This removes stored defaults and usage counters from Apps Script UserProperties.

Security

• Data sent to OpenAI is transmitted over HTTPS.
• OneBio stores only limited defaults needed for convenience and keeps permissions minimal.
• OneBio does not sell user data.

Permissions (why they’re needed)

• Gmail draft creation: required to create drafts in your Gmail account.
• External requests: required to call OpenAI to generate draft content.
